That your emails arrive and do not fall into spam
What you get: know if an email of yours has been sent, arrived or bounced, and what needs to be fixed when yours ends up in the recipient’s spam folder.
Before starting
For the mail of a domain to be delivered, three DNS records are needed, and the three are set by the panel only if your domain uses our name servers:
SPF - says which servers can send on your behalf.
DKIM - signs each email so that the recipient can check that it has not been tampered with.
DMARC - tells the recipient what to do with the fake email using your domain.
If you have the DNS on another site (Cloudflare, GoDaddy), you have to copy those three records yourself. They are on the DNS screen of your site, with a copy button so that the value is exact.
See what has happened with an email
Email → Email activity menu.
Filter by Status: Delivered, Bounced, Waiting or Rejected.
The Server response column is the one that matters: it is what the recipient’s server has answered, in its own words.
That tells you which side the problem is on. If it says Delivered, the email came from here and entered there: if the recipient doesn’t see it, it’s in their spam folder or in one of their rules.
How to check it worked
Send an email to an address you have from another provider (Gmail, Outlook) and open it. In Gmail, in the three dots, «Show original»: you have to put PASS in SPF, DKIM and DMARC. With all three in PASS, your domain is well configured and all that is left is reputation.
Common problems
- My emails arrive in the spam folder of the person who receives them
First check SPF, DKIM and DMARC with the “Show original” test. If all three give PASS and they still go to spam, it is the domain’s reputation and it cannot be fixed with a tweak: write to us and we will review it.
- I don’t get anything at all
Almost always the domain still does not point here, or the email records were left with the previous provider. Open the DNS screen of the site and press “Verify everything”. Look at Point your domain here.
- Email activity says “Bounced”
Read the server’s response: it usually says it in all capital letters. Address that does not exist, mailbox full of the recipient, or that you have been rejected for reputation. The first two are fixed by the recipient; the third, write to us.
- It has shown “Pending” for a while
The recipient’s server is not accepting mail right now and we are trying again. It tries again for days before giving up. If it is from one of your clients, notify them by another means.
- I use Cloudflare and the email does not work
The email records must be set to “Only DNS”, with the gray cloud. Cloudflare’s orange proxy is only for the web: if you leave it turned on in mail, imap, smtp, autodiscover or autoconfig, the email will stop working.
- I send emails from the form on my website and it doesn’t go through
That email is not sent by your mailbox, it is sent by PHP. Configure your form to send by SMTP with your mailbox and your password; this way it is signed and stops falling into spam. In WordPress, it is done with any SMTP plugin.
- Someone is sending fake emails with my domain
That’s what DMARC is for, and the one who puts up the panel is already in quarantine mode. If it keeps happening, write to us and we’ll tighten it up.
- My email program keeps asking for the password over and over again
Check that you enter the full address as a user, not just the part before the slash, and that the incoming server is IMAP on 993 with SSL/TLS and the outgoing server is SMTP on 587 with STARTTLS.
